Restaurant Email Marketing, Run by Local Folks Who Send Emails for a Living

If you’re like most local and regional restaurants, your reservation platform has been quietly collecting customer emails since the day you opened. Toast, OpenTable, Resy, Tock, Square. All of them are collecting info you can re-use.

And like most restaurant owners we talk to, that list has not received an email in months. Maybe ever.

We write, design, and send The Raleighwood Inbox to thousands of Raleigh locals every week, with open rates and engagement at 3x the industry average.

We take that same craft and put it to work for restaurants: a newsletter your customers actually open, written by humans, for humans.

What a Slow Tuesday Could Be Worth

It may sound obvious, but a well written newsletter really can be the difference maker for thousands of dollars in revenue each month.

Here is a short example:

  • Your PoS and reservation platform hold 6,000 guest emails you have never used (or haven’t used recently).

  • Email cleanup may trim 30-70% of that, but that is okay. Even with a worst case scenario, you have 1,800 emails of ready-to-send guests.

  • At just a 1.5% conversion per send, you have 27 people acting on one email.

  • At a $90 average table, that is over $2,400 from a single send.

Now run that math on four sends a month, with conversions that typically land higher (2-5%) once the list is healthy. And unlike third-party apps, none of it pays a commission to anyone but your own team.

That is the value of email done right.

You Already Pay for the Emails! Why Not Use Them?

Every platform in your stack charges you monthly and captures guest emails as part of the deal.

You know the common ones: Toast, OpenTable, Resy, Tock, Square.

The email list is the one marketing channel where there is no social algorithm deciding who sees your special, no ad budget burning on people just scrolling on their phones, and no commission per booking. Every name on that list has already sat at one of your tables and every good email means someone is opening it intentionally.

We turn your dormant list into a weekly or monthly reason to come back.

Email Marketing Services That We Handle

We can do everything from start to finish, if you want us to. This is a turnkey solution intended to work the moment we hand it off.

But specifically here is some of what we’d do:

  • Setup and migration: Export from your PoS or reservation platform, list import and cleaning, and the DNS work (SPF, DKIM, DMARC) that keeps you out of spam folders. Many restaurants fail this step.

  • Design: A template that looks like your restaurant, not a blast from a generic marketing service like SpotHopper.

  • Writing: Menu drops, event nights, holiday bookings, catering pushes, and the story behind the kitchen. Written in a voice your guests will recognize as yours.

  • Ongoing sends: A consistent cadence, managed end to end. You approve the content buckets, we handle the rest.

  • Reporting: Opens, clicks, and what actually filled seats, written with actionable insights in a monthly report.

What Goes in a Restaurant Newsletter?

TL;DR: whatever gets a guest to think about you on a weeknight! That’s the fun part because it’s different for everyone.

  • New menu items and seasonal changes

  • Slow-night specials and industry nights

  • Holiday reservations before the reservations rush

  • Private dining and catering (the highest-margins usually live here)

  • The people behind the food. Guests come back for the friendly faces, not just the stellar plates.

We really urge people to showcase the human element behind the restaurant. We want to know the chef’s favorite dish, the bartenders special cocktails, the reason the owners built their business.

Folks love a good story.

Why Hire a Local Newsletter Operator Instead of a Marketing Agency?

It is just a natural fit, as we believe a local operator should help local businesses. That is the way we think it should be in a community, and that is the way we tend to work.

  • We practice what we preach: The Raleighwood Inbox is a working product with public numbers and regular trusted partners. You can subscribe right now and see the effort we put forth every week.

  • Email is not our side offering: Agencies juggle your account across paid ads, social, SEO, and whatever else was in the quote. We focus on the one channel you FULLY control.

  • We are actually in Raleigh: We understand the Raleigh food scene and have tried the good (and the bad) the city has to offer. We believe this “boots on the ground approach” shows up in the writing.

Your newsletter should sound like it was written by someone who has eaten in your dining room and that is what we do.

I’m Mason, the Local Operator behind The Raleighwood Inbox.

How It Works

  1. Intro form (60 seconds): You tell us about the business and what the status of your email setup currently is. We will email or call you back.

  2. Discuss Setup & Pricing: We can give you pricing up front after learning the scope of the project on your free on-boarding call.

  3. Build-out: We handle setup, design, and your first email sends on the clean setup. Typical timeline is 4 weeks from kickoff.

  4. Ongoing: We keep it running on a monthly cadence you approve. Cancel anytime; the list and the newsletter are yours, not ours. This step is optional if you’d like your team to take over the fresh setup.

Common Questions

How much does email marketing cost? Our pilot engagements are custom per business but start as low as $845 depending on your need. Exact pricing is based on list size and send frequency. You will see a number after or during the first call, so you know early what you’re working with.

Do I need a big email list for this to work? No. A clean email list of 500 fans of your restaurant beats a stale list of 10,000 every time. We can also work with you on the email collection points to grow it further.

What platform do you use? We build primarily on Beehiiv, with migrations from Mailchimp, Constant Contact, and many other tools handled as part of initial setup. You keep full ownership and admin access.

We tried a newsletter before and nobody opened it. Why would this be different? Usually the issue is a fixable problem: a broken setup landing you in spam, generic content that read like a sales pitch, or an inconsistent schedule and voice. The free call can help diagnose this further of course.

Who owns the list and the content? You do. Everything we build lives in accounts you own. If we part ways, you keep all of it. We only ask that during the initial setup we get things to a working point before adjusting mid-way.
